ScreenSteps Live Updates – API Docs, RSS, Search Widgets and Lesson Linking

We have been working on quite a few changes over the last couple of weeks with ScreenSteps Live and just wanted to make you aware of some of the new features that are available on your account if you are a ScreenSteps Live user.

Updated API Documentation and API Change

Over the last few weeks we have been doing a lot of work on the ScreenSteps Live API. We are little embarrassed to say that our documentation of the API has been a little lacking. But no more. We have expanded the API section of our documentation with example xml from all of the different documented API calls. We have also consolidated all of the API resources into a single manual to make it easier to get information.

One important change – While working on the documentation we noticed a problem in the xml for the tag information of a lesson in a manual. Currently the xml node for tag information for a lesson in a manual looks like this:

<lesson>
  <tags>
    <name>The Tag Name</name>
  </tags>
</lesson>

It should be:

<lesson>
  <tags>
    <tag>
      <name>The Tag Name</name>
    </tag> 
  </tags>
</lesson>

There was a missing tag node. This will only affect you if:

  • You are using the API to display the contents of a lesson AND
  • The lesson is in a manual AND
  • You are displaying the tags for that lesson via the API

RSS Feeds For Spaces, Buckets and Manuals

We have added RSS feeds for your spaces, buckets and manuals. With RSS feeds your users can keep up to date on new lessons that you are adding to your space, manual or bucket. If you are using the standard template, then the RSS feeds are already active in your account.

If you are using a custom template then you will need to add the new rss tag inside of the <head> tag of your custom template. The new tag is:

New Search Widget To Add To Your Site

We have also released a new ScreenSteps Live Search Widget that uses standard HTML and Javascript. This means you can insert it anywhere on your website or in other web applications that let you add custom HTML and Javascript. Here are a couple of links that can you started with the widget.

Linking Between Lessons in Manuals

ScreenSteps 2.8 is just about ready for release. One of the key enhancements is the new ability to link between lessons in a manual. You can see an example here. This really adds a lot of flexibility when publishing your manuals to ScreenSteps Live.

The ScreenSteps Live API Ruby Wrapper

Today we have released a new Ruby wrapper for interacting with the ScreenSteps Live API using ActiveResource. The video below shows some examples of using the wrapper in the console. The API will let you:

  • Retrieve spaces, manuals, buckets and lessons
  • Search spaces, manuals and buckets
  • Get lessons for a given tag in a space, manual or bucket
  • Create tasks in your ScreenSteps Live account

We hope that this will make it easier for Rubyists to integrate ScreenSteps Live with their Ruby applications.

New Zendesk Widgets and Zendesk/ScreenSteps Live Webinar Tomorrow

We are very happy to announce that two new ScreenSteps Live widgets are available from within Zendesk. The ScreenSteps Live widgets are now native Zendesk widgets which means you no longer have to paste in any code to integrate ScreenSteps Live and Zendesk.

  • Search Widget – Search the content of your ScreenSteps Live account from within Zendesk. Click a button to automatically copy a link to one of your ScreenSteps Live lessons right into the current ticket.
  • Create ScreenSteps Live Tasks Widget – ScreenSteps Live lets you create tasks for lessons that need to be created by authors on your account. Now you can create new tasks right from within Zendesk. A link to the original Zendesk ticket will be included in the task.

ScreenSteps 2.7 Preview Video and The Sale that Goes Stale (up to 40% off)

We wanted to show you a bit of what is coming in ScreenSteps 2.7. We are always trying to make it easier for our users to communicate visually and ScreenSteps 2.7 is going to make a major improvement in that area.

Two big features coming to 2.7 are:

  • Copy lesson to clipboard
  • Drop shadows

Below is a video showing off the copy to clipboard feature. You can now copy the contents of your ScreenSteps lesson to the system clipboard and paste it into a new email message.

This is going to help you use ScreenSteps in a completely new way. Some great uses of this feature will be:

  • Customer support
  • Submitting bug reports
  • Demonstrating the flow of an application to a colleague
  • Any type of visual communication via email

We hope to have a public beta in the coming weeks. With 2.7 we are still trying to help you do more than just capture screens. We want to help you communicate visually. Creating a Visual Knowledge Base with ScreenSteps Live – Video and Webinar

We have just prepared a new video that shows how you can create a visual knowledge base in under 10 minutes using ScreenSteps Desktop and ScreenSteps Live.

Visual knowledge bases combine images and text to provide clear answers and instructions to your customers and users. Visual knowledge bases have the following advantages:

  • They have full text search – unlike video libraries.
  • They have clear visual information to help users complete tasks quickly – unlike traditional, text-based, knowledge bases.
  • They are easy to update when things change – unlike video libraries.
  • They are faster to create than either a video library or traditional knowledge base.

The video goes through the entire process of creating a visual knowledge base including:

ScreenSteps Live Update Helps You Look Better and Do More

We are happy to announce a slew of new features that have just been released for ScreenSteps Live. The goals for this update were to help you:

  • Look better
  • Be more organized
  • Get more done in less time

Look Better

Until now, the only way to customize your ScreenSteps Live site was to add in some custom CSS or create a custom template. These are both great options but they require that you understand code. That can be pretty intimidating for most people. ScreenSteps is supposed to be about not having to deal with any of that messy code.

We are happy to announce that as of today you don’t have to anymore. You can now customize all of the colors on your ScreenSteps Live account without having to enter any CSS or HTML at all. Our new template designer lets you select colors from a color palette and then save your template. You can even choose a list of our preset designs.

If you still need the HTML templates, don’t worry, they will always be available. But for those of you who just want to change the colors around a bit but don’t want to mess with CSS or HTML this is going to be a great option.

Be more organized

ScreenSteps Live makes it so easy to create lessons that our users quickly find that they post a lot of content. But a lot of our users were having trouble keeping track of who was in charge of creating or updating specific lessons in their ScreenSteps Live account. Since we don’t believe that anyone should have to repeat work we are happy to introduce the new “Tasks” feature.

Tasks are simple to-do lists. You create a to-do for each lesson that needs to be created on your account. You can either assign it to one of your team members (they will get an email notification) or you leave it unassigned. Unassigned tasks can be claimed by any team member who logs in. Tasks offer a simple way to keep your team organized and let them know what content needs to be added to your ScreenSteps Live site.

Get more done

To help you get more done in less time we made ourselves look better. ScreenSteps Live has been completely redesigned with a clear, more polished look. We have also made it much easier to get access to public urls for your spaces and lessons as well as create new spaces, manuals, buckets, etc. on your account.

Enhanced Permissions on ScreenSteps Live

Previous to this week, authors and admins on ScreenSteps Live all had access to the same lessons. If you were using ScreenSteps Live to create tutorials and you had a team of 3 authors, then everything worked great. Any user could update any lesson at any time. But what if you wanted to add a new space that was just for the accounting department? Or you wanted to have a user contribute some content to a space but didn’t want them to have access to other buckets or manuals in that space?

You couldn’t do it.

Now you can.

Earlier this week we pushed an update to ScreenSteps Live that will give you much more control over what content authorized users can access, create and update in your ScreenSteps Live account.

New Draft Support

You can now upload draft lessons to ScreenSteps Live. This means you can put lessons that are in progress anywhere in your manual. They won’t show up to your end users until you change the draft status. In addition, you can also mark buckets and entire manuals as drafts.

Remote Authentication With ScreenSteps Live

ScreenSteps Live is all about making you a customer support star. That means integrating into your workflow and your branding. We have already added custom templates and host mapping to provide complete white label support.

This week we added another key component — Remote Authentication.

What is it?

Remote authentication allows you to use your existing user authentication system to grant users access to your ScreenSteps Live spaces. This gives you single sign on when integrating ScreenSteps Live with your existing systems.

How does it work?

The example below shows remote authentication integrating with a WordPress blog. When a user requests protected content on your ScreenSteps Live site ScreenSteps Live normally displays a login screen. But with remote authentication enabled you take control of user authentication. Here is how a request for protected content works:

  • The user requests (1) protected content on your ScreenSteps Live account (2).
  • With remote authentication enabled ScreenSteps Live redirects the user to a url that you specify (3).
  • This url contains a login screen where the user enters a username and password (4).
  • When the user successfully enters a valid username and password your system tells ScreenSteps Live to let the user in (5) at which point ScreenSteps Live grants access to the protected content (6).

But remote authentication does more than just log a user in. Here are some other benefits:

  • If you update user information in your existing user management system, the next time that user logs into ScreenSteps Live the information will automatically be updated in ScreenSteps Live.
  • If you remove a user from your user management system they will not be able to access ScreenSteps Live anymore.
  • You never have to keep track of separate logins or passwords. All user management happens in a centralized location on your servers.

Deactivate Users on ScreenSteps Live

Yesterday we pushed a new feature to ScreenSteps Live that allows you to deactivate and reactivate users.

What does it do?

Once you deactivate a user they no longer count against the total number of admin/author users on your account. Deactivated users cannot login to the ScreenSteps Live site and cannot authenticate their ScreenSteps Desktop software.

Why should you care?

This new feature adds a lot of flexibility to your ScreenSteps Live account. Remember that with the new account plans, your ScreenSteps Pro Desktop license is included in your monthly subscription. Let’s look at an example scenario of how you might use this new functionality.

Let’s say you have a plan that includes 5 admin/author users. That means you have 5 ScreenSteps Pro Desktop licenses. Now suppose that you are launching a new product and need to get some documentation ready. You can have 2 people on your engineering team with ScreenSteps Live accounts and 3 people on your support team. The engineering team may create a lot of those initial documents that the support team will then enhance and expand upon.

Once the product is released you may not need ScreenSteps Live content from the engineering team anymore. What you really want is new content from the sales team. Just deactivate the engineering accounts and create two new users accounts for the sales team members. Your monthly costs never change but you are able to adapt your documentation team based on the needs of your organization at any given time.

Remote Authentication Coming to ScreenSteps Live

We are happy to announce a new beta feature coming to ScreenSteps Live – remote authentication. With remote authentication you can integrate ScreenSteps Live with your existing Active Directory, WordPress install, or any other user management system you already have in place.

Watch the video below to get an idea of how it works. The video shows an example with a WordPress plugin we have developed that lets your WordPress users log in to your ScreenSteps Live account.

How does it work? You just install a simple script on your server that can authenticate users. When a user comes to your ScreenSteps Live account they are redirected to your servers where the script resides. Once they login on your server they are redirected back to your ScreenSteps Live account.
