Documentation authors rejoice! Your life just got a whole lot easier. With the current 2.8 beta you can now link directly to other lessons in your manual. ScreenSteps will automatically update these links so that they work in PDFs, HTML, Microsoft Word and ScreenSteps Live. This has been an oft requested feature and we think you are really going to love it. It is going to make modular documentation so much easier. The video below gives a quick overview.

You can download the latest beta here:

We have also incorporated a lot of the feedback we have received about the new UI. There is still more work to do but we hope you are happy with how it is coming along.

Video, Screencasts and Still Images – Using the Right Tool at the Right Time

Yesterday we had a great webinar titled “Video, Screencasts and Still Images – Using the Right Tool at the Right Time”. The real question is “Do I screencast or ScreenStep?” A lot of people make the mistake of thinking that sceencasting/videos and still image how-to guides (the kind you create with ScreenSteps) are mutually exclusive options. The truth is screencasts and ScreenSteps are different types of communications for different situations.

In the webinar we laid out a framework for helping you decide when each type of communication is most effective. We looked at several good examples of videos, screencasts and ScreenSteps-like articles.

The real key to determining which tool to use is gauging the users level of engagement. If they are only marginally engaged in the content you are presenting then a screencast is going to be the best option. But if they are fully engaged then a ScreenStep-like article will be much more effective. Check out the webinar to learn why.

The reaction from the participants was fantastic. It was by far our best received webinar yet. You can see the slides below:

Webinar Tomorrow: To Screencast or to ScreenStep – That is the Question

Tomorrow we will be hosting a new webinar that will be really valuable for those of you who have to communicate with users about products you create or support.

Our customers often ask us if they should use a screen recording application, like Screenflow or Camtasia, or something like ScreenSteps (ScreenSteps is a tool for creating step by step guides out of still images).

What they are really asking is “Should I create a video/screencast or a step by step visual guide (what we call a ScreenSteps document)?”

Our answer is, “It depends.”

The truth is, if you are going to have an effective product communication strategy, you need to be using both screencasts and ScreenSteps documents. The tool you use for a specific communication depends on two things:

  • The level of engagement your target audience has with your product at the moment you are communicating with them.
  • The type of knowledge you are trying to transfer to that user.

In tomorrow’s webinar we will layout a framework that will help you decide when to use a screencast and when to use a ScreenSteps document. We will follow a new user through four levels of engagement with a product and discuss what type of communication is most effective at each stage. We will also provide examples of effective communications at each stage.

The four stages of user engagement with a product are:

  1. Product awareness
  2. Product interest
  3. Product investigation
  4. Product implementation

This webinar will be ideal for marketing and product managers, IT and customer support or anyone who has to educate users on product usage.

Happy New Year! Publish to Blogger, Google Sites and Joomla with ScreenSteps 2.7.1

During the holidays things slow down a bit. There aren’t as many phone calls to make or emails to answer. Most people take the time to read a good book or catch a movie. Not Trevor though (the lead developer of ScreenSteps). Free time means time to polish off one of those projects that he has had on the workbench for awhile.

Publish to Blogger and Google Sites

Blogger support has been a big request for awhile so we are happy to announce you can now publish your ScreenSteps lessons to your Blogger blog (Standard and Pro versions). You can also now publish to Google Sites (Pro only).

Here are some lessons that will help get you started:

New Joomla Integration Manual

In one of our recent webinars we received another request for Joomla integration. After poking around on the internet for a few minutes we found a nice Joomla plugin that adds support for creating content using one of the methods already supported by ScreenSteps. As a result we have some new lessons that will show you how to easily integrate ScreenSteps with Joomla.

We hope that you enjoy the new export options. You can download the latest version of ScreenSteps here.

Posting to Posterous Using ScreenSteps

A couple of weeks ago I tried out Posterous. I was already familiar with the service as some of my friends use it for their blogs. When one of our customers started using ScreenSteps with Posterous I decided to give it a try.

What a great service. Posterous has removed all of the unnecessary steps from posting to your blog. I’m going to be experimenting with it more over the coming weeks but here is my first post showing how to make my favorite hot chocolate (tutorial made with ScreenSteps).

It turns out that ScreenSteps makes creating screen capture based tutorials in Posterous really easy. Here is a screencast showing how to integrate ScreenSteps and Posterous using the new copy to clipboard feature in ScreenSteps 2.7.

Integrating ScreenSteps with Joomla

During our webinar today on new ScreenSteps 2.7 features (learn more about ScreenSteps), a customer asked about Joomla integration. The question comes up every once in a while and I actually had investigated ScreenSteps and Joomla integration a while back. I remembered that one of our customers was able to get it to work after jumping through a number of hoops.

After the webinar was over Greg and I started discussing Joomla and I decided to look into it again. It turns out there is a great Movable Type plugin for Joomla. Since ScreenSteps uses the Movable Type API to post content to TypePad and Movable Type, the Joomla Movable Type plugin works perfectly with ScreenSteps.

I’ve posted a new manual on Integrating ScreenSteps with Joomla that will walk anyone through the process with Joomla 1.5. You will be publishing visually rich tutorials to Joomla from within ScreenSteps in no time.

I will mention that the ease of creating the manual in ScreenSteps while installing the plugin, and then instantly publishing to ScreenSteps Live brought a smile to my face.

Using ScreenSteps 2.7 With Mailplane

Mailplane is a great application if you are a heavy Gmail user. It lets you manage multiple Gmail accounts, easily add attachments and manage all of your Gmail settings from a desktop application.

But if you have tried using the new “Export Lesson to Clipoard as HTML” feature in ScreenSteps 2.7 you probably have discovered that the images don’t show up in your message. This is because of a limitation in the Google Gmail API that doesn’t allow Mailplane to insert the type of content that ScreenSteps puts on the clipboard. But there is a workaround. The video below will show you how to quickly attach your ScreenSteps lessons to email messages in Mailplane.

2.7 Beta Update Improves Copy to Clipboard, Search, Tags Palette and Image Sizing

The 2.7 public beta is rolling along. Thanks so much to all who have sent in such great feedback. We have already incorporated a lot of the feedback that we have received, adding some new twists to the features we are introducing in version 2.7.

The video below points out some highlights.

Copy HTML or PDF to the system clipboard

HTML works great for sending emails to customers, colleagues and customers. But help desk ticketing systems often mangle HTML emails. We really think that ScreenSteps is a great tool to use when you are trying to submit bug reports so we had to come up with a solution. And thus was born the copy PDF to clipboard feature.

If you are submitting a bug to a help ticketing system, just select Copy to Clipboard > PDF and paste it into an email. This will also work for attaching PDFs to web based email systems such as Gmail.

In addition you can use the copy PDF feature to send lessons via instant messaging applications.

Searching with the Tags Palette

You can now drag tags from the Tags Palette into the search field to quickly filter your lessons by tags.

Improved: Set the Maximum Width for Your HTML/Blog/Wiki Templates

The other day we were preparing for our WordPress and ScreenSteps webinar. When using ScreenSteps with any blog or wiki you need to make sure that you set the maximum width of your template to the width of your blog/wiki. While preparing for the webinar we decided that the process doing that was too cumbersome. So we made it easier. You can now set the maximum width for your templates right in the ScreenSteps Preferences screen.
